I Do a large bluegrass fest once a year
Its almost identical to your situation
They play for forty minutes and there is a 10 min break
to bring up the next bluegrass act
In order to keep track of the mics you can number them
Go to the hardware and buy the numbers you put on your mailbox
Fairly large so you can see them..then put the numbers on
a 4x5 inch flat plate made of whatever you wish (size is your preference as long as you can see the number from FOH)
Stap it with nylon ties or something to the stands
for stands with a guitar mic with and adaptor and a vocal mic
on the same stand I just put the guitar mic number below the vocal number on the straight part of the stand
Once a stand is set dont allow musicians to unplug mics and move
them around...thats b.s.
Once you have the monitor set for each mic it should be basically
ball park for every instrument and vocal
I do this for 13hours the first day and about 14 hours the second day
Dont have time for people moving mics around unplugging them
and moving them to different channels
We use all high quality AKG condensors, Senheiser, Neumann mics etc
They can move the stands and ajust the heights and so forth
Then we do a quick check...and level test for each instrument
and it takes like 5minutes to go through it with a talkback from
FOH to stage
